Procurement

Compare supplier quotes before you buy, not after.

The lowest total is not always the cheapest quote. DocGlue lines up what each supplier actually included, so you choose on scope, not on the bottom line alone.

The problem

Quotes are written to be compared badly.

Every supplier uses its own layout, item names and units. One bundles installation into a line, another lists it separately, a third leaves it out and adds it later as a variation.

Comparing them means rebuilding each quote in a spreadsheet by hand. It is slow, and the one line that decides the purchase is the easiest one to miss.

Documents this covers

  • Supplier quotes and estimates
  • Proposals and bids
  • Revised quotes
  • Purchase orders

The DocGlue workflow

From two PDFs to a decision.

  1. 01

    Upload two quotes

Drop in the quotes you are deciding between. Text PDFs and scans both work.

  2. 02

    DocGlue extracts every line

Items, quantities, unit prices, subtotal, tax and total are read from each quote, with the page they came from.

  3. 03

    Equivalent items are matched

Lines are paired by SKU, normalized description and quantity, so wording differences do not hide a match.

  4. 04

    Decide on real scope

See items only one supplier quoted, lines priced differently and totals side by side. Export the result for approval.

The result

What DocGlue checks.

  • Items quoted by one supplier and not the other
  • Quantity and unit price per matched item
  • Subtotal, tax and total
  • Currency, with a warning when suppliers quote in different currencies
  • Payment terms and reference numbers when labelled

What you get

  • A side-by-side view of scope, not just totals
  • Missing items flagged before the purchase order goes out
  • A PDF or CSV record of why a supplier was chosen

Quote A vs quote b

Upload two PDFs, or try the Cedar Peak sample. Put the document you agreed to first (a quote, an order, or the earlier version) and the one you are checking second. Differences show what changed in the second one. If a quote and an invoice are the wrong way round, DocGlue swaps them and tells you. Text you can select is read as written; a scanned page is read only when it has no selectable text.

What are you comparing?

Auto reads symbols such as R, $, EUR, GBP, CAD, and AUD. Pick a currency when an amount has no symbol. If the two PDFs clearly use different currencies, the report warns you and does not subtract them.

Try sample pair loads a Cedar Peak quote and invoice, then runs the same comparison as an upload. Nothing is saved.

Add the Quote A and the Quote B. Results list matched fields, differences, missing lines, and uncertain matches.

FAQ

Procurement questions.

Can DocGlue compare more than two quotes?

Yes. The multi-quote view compares up to 5 supplier quotes (at least 2) in one matrix, matches equivalent items across every quote and shows what each supplier left out.

What if suppliers describe the same item differently?

DocGlue normalizes descriptions and matches on SKU, wording similarity, quantity and unit price. Matches it is not sure about are marked Uncertain so you can confirm them.

Does it tell me which supplier to choose?

No. It shows the differences with evidence. The decision, including quality, lead time and relationship, stays with you.
